Managing Unpaid Billings With Lytec
The collections module included in versions 2005 and 2006 streamlines the tracing and collections process.
How does it work? It’s easy! The Collections tool is located under the Activities tab under Collections. First, you decide how far back you want to look, say 90 days, and the program brings up all billings aged from that date and older. You can then use the collections assignment tool to assign the billings to be reviewed by yourself or another user. At that time you can choose to look at insurance, patient balances or both and also select other ranges such as minimum balance. Once this is done, you or another user can go in and bring up their individually assigned work list and start collecting. From the work list screen you can access the specific charge, patient/guarantor screen, add a note that follows the billing, choose to re-bill, send a statement or collections letter. See the format on the next page-this is a very visual tool that is setup in a spreadsheet format with links to every part of the program you will need to do your tracing. This tool has greatly enhanced our billing service tracing efforts.

On January 6, 2006 Per-Se Technologies, Inc. announced the successful completion of its acquisition of NDCHealth. The two are now one company and the leader in delivering healthcare services and information technology solutions to physicians, hospitals and retail pharmacies. Per-Se offers a low cost electronic solution for your practice. All you do is print your statements to a file and transmit. Statement printing options are flexible, as you are used to in the Lytec program. Two quick steps within the Lytec program and they do the rest! Per-Se prints out your statements (with an easy-tear return stub), stuffs the envelopes (including a return envelope) and mails them. You are charged only for the statements sent, there is no additional monthly fee. An example is attached to show you what the statements can look like. The current cost is $.67 for the first page and $.17 for each additional page per patient statement. When you consider the stamp, stationery, envelopes and time, this is a great deal. It’s So Easy! Tips and Tricks
Scheduling using Templates and Repeat Appointments
Templates are an easy way to block out time on a continuing basis. You may want to block out lunch, a weekly meeting or times that you take only new patients, for example. These are a good use of templates as you can restrict appointments inserted into the designated timeframe by appointment reason codes. Templates are setup in the template view and each Doctors templates must be setup separately. Repeat appointments should be used when a patient is scheduling a recurring appointment, not for routinely occurring time you want to block out. Regardless of the type you use, you should always set an ending date to minimize database size.
